Extract from a recently published article on Disaster Recovery

"Are you vulnerable or have you got the balance right ?

The recent fire in one of London’s most modern 126,000 square foot data storage facilities has resulted in the loss of over a million boxes of stored records, this despite modern fire detection and sprinkler systems. 

Whilst a large proportion of the records were probably stored for legal retention reasons rather than operational need, there will undoubtedly be thousands of customers who may suffer significant embarrassment and possibly financial loss.

This is not the first fire to have affected a data storage facility by any means. There have been a number of fires and floods over the past two decades that have resulted in a similar data loss.

The fire highlights the need for organisations to follow a sensible records and information management strategy and in particular to focus on their protection of critical data sets.  Whilst paper storage may look a cheap option in the short term, the potential loss of critical records can be catastrophic (even terminal) for organisations.

Currently, the most logical solution is to have the records backed-up and stored in more than one location.  Scanning the records can provide both the ability to back-up critical data in multiple formats and locations and to have instant, low cost access to the data at the desk top.

Records Managers need to look at the life cycle costs of their (physical) data storage, including the storage, retrieval and destruction costs.  In addition, the costs for individual datasets should be weighted, dependent on how critical the data is to the organisation.

With the advent of new technology, improved on-line access for staff and the need to both reduce costs and improve operational turn-around, organisations should be looking for an information strategy that embraces the benefits of all the options available.  This should take account of their legacy datasets and the future information management needs of the organisation.

Whilst there will be records that can only be physically stored, the traditional ‘out of sight – out of mind’ philosophy is no longer the answer.

There is no doubt that organisations that have the access to their data digitally can have a significant competitive edge and the added benefit of knowing that their data is far more securely stored."
